​Front Desk Assistant​

Key Responsibilities:

​

  • Check in patients and complete patient registration under the direction of the Office Manager. 

  • Schedule patient appointments within operational standards.

  • Checking and responding to emails, text, and calls.

  • Confirm patient appointments for next 2 business days. 

  • Verify insurance to 100% accuracy - Knowing correct patient co-pay

  • Updating patient information

  • Complete check out process with each patient by reviewing charts to ensure that all information is written properly and procedures are documented and match\the signed routing slip that the Doctor has submitted. 

  • Create next appointment, referral slips, call in prescriptions, request medical clearance. 

  • Update lab lists in computer/ checking in lab cases on as needed basis.

  • Prevent broken appointments by leading the confirmation protocol.

  • Calling unscheduled lists Complete the check in process for all crown, bridge and denture cases upon delivery. 

  • Keep front desk area and lobby clean and neat. 

  • Inputting treatment and organizing treatment plans

  • Working knowledge of dental terminology

  • All other duties and responsibilities as assigned, assisting Dentist when needed

  • Spanish fluency is a plus

​Dental Assistant

Key Responsibilities:

​

  • Assist the dentist during examinations and procedures, including cleanings, fillings, and extractions.

  • Prepare and sterilize instruments and equipment in accordance with safety and infection control protocols.

  • Take and develop dental radiographs (X-rays) as needed.

  • Manage patient records, including scheduling appointments and maintaining accurate documentation.

  • Provide patient education on oral hygiene and post-operative care.

  • Ensure the dental operatory is clean and well-organized.

  • Assist with administrative tasks, including billing and insurance processing.

  • Monitor inventory and order dental supplies as necessary.

  • Maintain compliance with all regulatory and safety standards.

​Qualifications:

  • High school diploma or equivalent; completion of a dental assistant program preferred.

  • Certified Dental Assistant (CDA) credential is a plus.

  • Previous experience in a dental practice is preferred but not required.

  • Proficient in dental software and Microsoft Office Suite.

  • Excellent communication and interpersonal skills.

  • Ability to work well in a fast-paced environment and manage multiple tasks.

Billing Coordinator

Key Responsibilities:

 

Billing and Collections

  • Prepare and submit insurance claims accurately and timely.

  • Follow up on outstanding claims and resolve any discrepancies with insurance companies. 

  • Handle patient billing inquiries and provide necessary information regarding their accounts.

  • Process payments from patients and insurance companies, ensuring accurate posting to accounts.

 

Insurance Verification

  • Verify patient insurance coverage and benefits prior to appointments.

  • Maintain up-to-date knowledge of insurance policies and procedures.

 

Financial Record Management:

  • Maintain accurate patient billing records and ensure compliance with financial policies.

  • Generate and review monthly billing statements, identifying any issues or discrepancies.

  • Prepare financial reports for management as required.

 

Customer Service:

  • Provide exceptional customer service to patients regarding billing questions and concerns.

  • Communicate effectively with patients, dentists, and insurance representatives.

Collaboration:

  • Work closely with the dental team to ensure accurate coding for procedures performed.

  • Assist in training new staff on billing software and procedures.

​

Qualifications:

  • Education: High school diploma or equivalent; associate’s degree in business, healthcare administration, or related field preferred.

  • Experience: Previous experience in medical or dental billing required. Familiarity with dental procedures and terminology is a plus.

  • Skills: Strong attention to detail and accuracy in financial record-keeping. Proficient in billing software and Microsoft Office Suite. Excellent communication and interpersonal skills. Ability to handle sensitive information with confidentiality.
